4. Where information comes from
We obtain information directly from you, automatically from your device where permitted, from Shopify and our service providers, from independent makers fulfilling your order, and from public or business sources where relevant to supplier applications or fraud prevention.
5. Why we use information and our lawful bases
- To take and fulfil orders, process payments, deliver goods, manage returns and provide customer service: necessary to perform our contract with you.
- To meet tax, accounting, product-safety, consumer-law and other legal duties: necessary to comply with a legal obligation.
- To prevent fraud, secure the site, enforce our terms and protect our business and customers: our legitimate interests in operating a safe and lawful retail business.
- To improve our products, service and website using essential or aggregated operational information: our legitimate interests in improving the business, provided those interests are not overridden by your rights.
- To use non-essential analytics, advertising or personalisation cookies: your consent.
- To send email or SMS marketing: your consent, or the limited existing-customer exception where UK electronic-marketing law allows it. You can opt out at any time.
- To publish a review or other content you submit: our legitimate interests in helping customers make informed choices and, where required, your consent.
- To assess and manage supplier relationships: steps taken at your request before entering a contract, performance of a contract and our legitimate interests in selecting and managing suitable suppliers.
Where we rely on legitimate interests, we consider the necessity of the processing, its effect on you and the safeguards available to you.
6. Who we share information with
We share only what is reasonably necessary with:
- Shopify, which hosts the store, checkout and customer-account services;
- payment processors, fraud-prevention providers and financial institutions;
- the independent maker or fulfilment partner responsible for dispatching your order;
- delivery companies and logistics providers;
- providers of reviews, wishlists, customer support, email, SMS, analytics, advertising, security and cookie-consent services;
- professional advisers, insurers, auditors and authorities where necessary; and
- a buyer, investor or successor in connection with a genuine business transaction, subject to appropriate safeguards.
Our makers receive customer details only for fulfilment, delivery, returns, product-safety and related legal purposes. They must not use order data for their own marketing.
7. Shopify
Our store is hosted by Shopify. Shopify processes information to provide and improve its services and may act as an independent controller for some processing. Read the Shopify Consumer Privacy Policy and use the Shopify Privacy Portal for information about Shopify's processing.
8. Cookies and similar technologies
We use essential technologies to operate the store. With your permission, we may also use analytics, advertising and personalisation technologies. You can accept, decline or manage non-essential cookies through the cookie banner and change your choice later through the Cookie Settings link in the footer.
See our Cookies Policy for the current cookie list and purposes.
9. International transfers
Some providers may process information outside the United Kingdom. Where the destination is not covered by UK adequacy regulations, we use an approved safeguard such as the UK International Data Transfer Agreement, the UK Addendum to standard contractual clauses, or another lawful mechanism. Contact us if you would like more information about the safeguard relevant to your information.
10. How long we keep information
- Order, payment, tax and accounting records are normally retained for six years after the end of the relevant accounting period.
- Customer-service, complaint and return records are normally retained for up to three years after the matter is closed, unless a longer period is needed for a legal claim.
- Account information is kept while the account is active and normally for up to two years afterwards.
- Marketing information is kept until you unsubscribe or, where appropriate, after 24 months without meaningful engagement. We may retain a minimal suppression record to respect your opt-out.
- Cookie and consent records are kept for as long as reasonably necessary to demonstrate and honour your choices.
- Unsuccessful supplier applications are normally retained for up to 12 months unless you agree to a longer period.
We may keep information longer where required by law, to resolve a dispute or to establish, exercise or defend legal claims.
11. Your rights
Depending on the circumstances, UK data-protection law gives you rights to:
- access your personal information;
- correct inaccurate or incomplete information;
- ask us to erase information;
- restrict or object to processing;
- receive certain information in a portable format;
- withdraw consent at any time; and
- object at any time to direct marketing.
These rights are not absolute. To make a request, email info@collectivesgroup.co.uk. We may need information to verify your identity.
12. Marketing choices
You can unsubscribe using the link in a marketing email, reply or use the stated keyword for SMS messages, change your cookie preferences, or contact us. Opting out of marketing does not stop essential messages about an order or account.
13. Security
We use reasonable organisational and technical measures intended to protect personal information. No internet transmission or storage method is completely secure, so please do not send payment-card details or other highly sensitive information by ordinary email.
14. Children
Our services are not directed to children. You must be at least 18 to place an order. We do not knowingly use children's information for marketing.
15. Automated decisions
We do not make decisions based solely on automated processing that produce legal or similarly significant effects on you. Fraud tools may flag an order for human review.
16. Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner's Office:

Telephone: 0303 123 1113
